How to Edit an Appointment

Overview

CompanyOn allows clinics and practitioners to edit appointments directly from the Calendar as long as the appointment has not been checked in.

Appointments can be updated to adjust:
• Date and time
• Practitioner
• Service
• Notes
• Appointment status
• Scheduling details


How to Edit an Appointment

  1. Open the appointment from the Calendar

  2. Click the Pencil Icon

  3. Update the required information

  4. Click Save


Important Editing Rules

Before Check-In

Appointments can only be edited directly if the appointment has not been checked in.


After Check-In

Once an appointment is checked in:
• An invoice is automatically generated
• The appointment becomes locked from direct editing

This is because billing workflows are already connected to the visit.


How to Make Changes After an Appointment Has Been Checked In

  1. Open the appointment

  2. Click the Reverse Icon to reverse the appointment

  3. Unlink the generated invoice

  4. Open the Billing module

  5. Locate the invoice

  6. Click the X Icon to annul the invoice

  7. Return to the appointment

  8. Make the required changes

  9. Save the updated appointment

Reversing the appointment:
• Does NOT automatically annul the invoice already created

The invoice:
• Remains active
• Remains linked to the appointment
• Must be annulled separately through the Billing module


Important Refund Reminder

If a payment was already processed online through Stripe:
• Refunds should be completed before annulling invoices or receipts

Otherwise:
• Online refund workflows may no longer be available after annulment
